Personal and Event Information

If your rental will be outdoors, please read that particular rental's Notice section below.

What time do you need your rental(s) setup?

Please confirm your desired rental setup time with your venue. If your venue does not allow us access to your room before the time indicated above, we cannot be responsible for a late setup, or possibly interrupting your event after it has already started. Also, because we service multiple events per day and must coordinate them accordingly, we cannot guarantee early deliveries and setups on too short of notice or last minute time changes. Early setups exceeding two hours prior to an event are also contingent upon other scheduled events and their locations.

Karaoke


Karaoke Notice

Please check the WiFi connection strength ahead of time at the very same location where the karaoke system will be setup. You must agree to any necessary relocation if our equipment is out of range of, or receiving inadequate signal from, your WiFi source. The karaoke system must be able to connect to your chosen wireless network for the karaoke software to stream properly. We are not responsible for customers' internet issues.

We retain the right to refuse karaoke setup at unsafe or problematic locations, or at any locations increasing the risk of damage to the equipment. Karaoke systems must not be set up where openly exposed to rain, heavy winds, or other inclement weather. Tents or canopies must either be large enough, or have sidewalls, to protect against rain blowing in and making contact with the equipment. If any of the above conditions prevent us from setting up the karaoke system outdoors, you must either decide on an indoor or sheltered location (such as a garage), or cancel or reschedule the rental and forfeit your deposit. When you reserve our karaoke system, it then becomes unavailable for another potential customer. Therefore, if we show up at your event only to find that you have no acceptable location for the system to be placed, we have then lost out on renting it to someone else and must be compensated.

We do not provide any advice or assistance regarding do-it-yourself connection of our "Tablet and Stand" rental to customers' own sound equipment with which we are unfamiliar, nor do we provide any audio cables. If you are uncertain of how to set up a functional karaoke system, we recommend choosing either the full service "Delivery and Setup" Pro System, or the "Do-it-Yourself" Small Room System.

The "Do-it-Yourself" Small Room System may, or may not, be powerful enough or suitable for large rooms or outdoor use, depending on the area size required, and increasing the volume to compensate for such uses could result in damage to the speaker.

Red Carpet Runway Notice

One hour of graphic design time (including revisions such as fonts, colors, sizes, repeat pattern, etc) is included with all Red Carpet Runway packages at no extra cost. Therefore, we cannot spend hours upon hours re-designing and re-proofing multiple variations of your backdrop. If you later decide to request changes, after your previous requests have already consumed an hour of design time, you can choose to either submit a design to us, or be billed hourly for additional design time. Additional design time is billed at $12 per fifteen minutes. However, clients are notified before such time is expended or billed.

If your red carpet runway is intended to be outdoors, please arrange for an alternative indoor or covered location as a backup plan in case of unforeseen weather conditions. Red carpet runways CANNOT be set up where openly exposed to rain, heavy winds, other inclement weather, or directly on dirt, grass, or wet ground. Winds can damage the backdrop stand, and rain can cause other items to stain and/or rust. All equipment must remain clean and dry at all times during the rental period. In the case of any of the above conditions, you are required to either decide on an indoor or sheltered location, or cancel or reschedule the rental and services and forfeit your deposit. When you reserve a Red Carpet Runway, it then becomes unavailable for another potential customer. Therefore, if we show up at your event only to find that you have no acceptable location for the equipment to be placed, we have then lost out on renting it to someone else and must be compensated.

All delivered and installed backdrops are rolled up and left behind by us once events have ended. You obtain permanent ownership of the backdrop and are responsible for it upon its full payment and delivery. If you wish to keep your backdrop but are unable to take it with you after your event ends, you may need to arrange to pick it up from your venue at a later time. We do not retain possession of backdrops to store or ship to customers.

Photo Booth Notice

If we do not receive instructions on what to print as your photo strip graphic at least 24 hours prior to your event, we will provide a generic header appropriate for your event. Custom graphic design time is included with the photo booth rental rate. Therefore, we cannot spend additional time re-designing multiple variations of your header graphic. Alternatives to our design can be submitted to us via email.

We are not responsible for ANY personal items or property left behind, inside, or nearby our photo booths. We can not safeguard such items.

Due to the extreme complexity and expense of our photo booths, we reserve the right to prohibit any unruly or uncooperative individuals from using our photo booths at events.

Property with hilly landscapes must be driven over with our vehicles in order to unload our 400 lb. photo booths at flat locations. Once unloaded, we cannot move our photo booths over gravel, uneven ground, steps, or stairs. Photo booths can only be unloaded onto porches or decks by backing our vehicles up to the structures, or by using ramps. An elevator is required to deliver our photo booths to non-ground level floors. Photo booths placed on lawns require a sheet of plywood (or other suitable material) underneath. We will not place our photo booths directly on dirt, grass, or wet ground — nor will we drive our vehicles through mud, heavy snow, or other conditions which could possibly result in problems for our vehicles. If any of the above outdoor conditions prevent us from setting up our photo booth, you will either have to decide on an indoor or sheltered location (such as a garage), or cancel or reschedule our services and forfeit your deposit. When you reserve one of our photo booths, that booth then becomes unavailable for another potential customer. Therefore, if we show up at your event only to find that you have no acceptable location for the booth to be placed, we have then lost out on renting it to someone else and must be compensated.

Lighting Notice

“Lights” do not shine “dark”. Therefore, deep dark colors such as denim, navy blue, brown, forest green, or merlot are not possible. Please refer to an RGB Lighting Chart for LED color options.

Lights should never be placed within foot traffic areas, or near opening and closing doors, or any other place where they could possibly be struck and damaged. Light fixtures must not be set up where openly exposed to rain, moisture, heavy winds, other inclement weather, or directly on wet ground. All light fixtures and cords must remain clean and dry at all times during the rental period.

Cancellation Policy

All deposits are NON-REFUNDABLE. When a client reserves our services, we must turn down other potential clients. Deposits can, however, be re-applied to rescheduled or future events pending availability. All cancellations MUST be made in writing. Rescheduling for events cancelled due to inclement weather shall be accommodated without penalty whenever possible. Rescheduled events are subject to availability.

Payment Policy

We must receive a deposit before scheduling your event. Deposits made with credit card can either be paid on our Payment page, or via the invoice we send you, or via phone. We also accept check or cash for deposit. Checks made out to "Event Entertainment" can be mailed to our address only if time permits. Checks must clear before your rental is reserved.

Balances are due before your event begins. Balances can be paid ahead of time with credit card, cash, or check. Checks must have time to clear before your event, therefore, we do not accept checks at events. Balances paid in person at your event must be paid with cash or credit card before setup. We do not set up until receiving a balance.

Delivery and Setup Policy

If, after arriving at your event, we are unable to set up, and/or operate, our equipment due to unsuitable setup areas, improper or insufficient electrical power, poor WiFi signal, lack of space, or any other disregarded requirements, which are fully disclosed in this agreement, as well as on our website, we will be forced to cancel or reschedule our services and retain your deposit. We are also not responsible for misunderstandings regarding any specific details which are clearly addressed and disclosed on our website.

Unless previously agreed upon, we do not collect certain rental equipment after midnight. If an event extends beyond this time, we either must collect such equipment by midnight, or the customer or venue must agree to store, and be responible for, the equipment until we can collect it a following day. Please discuss any after-midnight pickup situation with us to confirm whether or not we can accommodate you.

Do-It-Yourself Policy

To insure that your equipment is prepared for pickup, do-it-yourself rentals are scheduled by appointment only. We may or may not have your items ready for you if you stop by at will. All Do-It-Yourself rental pickups require an additional Rental Agreement to be signed in person before taking possession of our equipment. This Rental Agreement protects against equipment damage, theft, late return, non-return, missing items, or other liabilities. Therefore, our equipment can ONLY be picked up by individuals of at least 18 years of age, who can sign a legal document, and provide a photo ID, along with valid credit card info to be placed on file until equipment is returned in a timely manner, and in satisfactory condition.

All do-it-yourself rentals are 24-hour rentals, and are due back the following day, with the exception of Sundays and holidays.
